Office Security - Procedures and Systems for Small Businesses

For any business looking to operate effectively and achieve strong growth, security should be near the top of the list of priorities. Having robust business security systems in place can massively reduce the risk of having items stolen, and ultimately protects the business’s assets and finances.

Office security procedures are likely to vary from business to business, especially given that offices can differ greatly in size and layout. It is important that each business tailors the security measures they put in place to ensure that they are a good fit for their office.

Office Security Systems

Often, it is the most common, basic security measures which offer small businesses the greatest protection against external threats. Small businesses are likely to have a relatively small office, so it should be easy to identify the most significant threats to security and act accordingly. Checking/installing a decent alarm system is usually a good place to start, as this will be one of the most effective security measures against any potential intruders who may enter the premises. Any staff who may be the last to leave the office should be trained in how to activate the office alarm system (if it is necessary) to make sure it is always functioning outside of office hours. It is also important to have good, up to date locks installed. Many offices now have electronic systems which only grant access with a card, fob or similar electronic device. Whichever system is used, it is vital that it is well maintained, and checked on a regular basis. Starting with basics like this will help to ensure that the office is secure and very difficult for anyone to breach.

Security Guard

Some businesses may have a security guard keeping watch over the office, either during office hours, after hours, or at all times. This minimises the risk of intruders entering the building and allows much greater peace of mind for staff working there. Hiring a security guard is an effective measure if the office has any high value equipment, especially if it is left out overnight. It is also worth thinking about the cost effectiveness of a security guard, as they can be pricey, and may not be entirely necessary to keep the business secure. It may be the case that a security guard is only needed if the office is to be shut for an extended period of time (at weekends, for example). In any case, it is worth looking at different security officer providers, and comparing different prices to find the best fit for the business.

Insurance Policy

No matter how robust business security solutions may be, there will always be a chance that they are not enough to stop theft/damage to the business (no security system is perfect). One of the most effective security measures could be to take out a decent insurance policy, which will protect the business from financial losses if anything is stolen or damaged. It is worth noting that the cost of office insurance is likely to go down significantly if the business can prove it has effective, well maintained business security systems in place, so it is still worth investing in the best office security systems possible.

Cyber Security

With threats to businesses constantly evolving, it is crucial to consider the necessity of cyber security. One of the most significant dangers to businesses, especially with the recent introduction of the General Data Protection Regulation, is cyber-crime, and the theft of any personal data which the business stores.

Investing in cyber security is equally as important as investing in physical office building security procedures and systems. A good cyber security system will: • Protect against cyber attacks • Keep business data safe • Be adaptable and versatile (threats are constantly evolving)

Given that the majority of businesses now operate online in some capacity, the need for cyber security has been growing rapidly, and there are countless firms who can offer a decent level of protection for businesses of all sizes. Small businesses could well benefit from setting up good systems early on to avoid crippling cyber-attacks and data theft.

Keeping an office as secure as possible from all threats can be challenging for small businesses, but once the necessary office security procedures and systems are in place, there should be very little chance of suffering financial or operational setbacks in the long run.
